Settings > Administration > Global Resources > System Objects > Users

Because the Users object plays such an important role in the platform and is embedded in many processes, very little modification of the Users object is permitted. However, the following elements can be customized:


Custom Fields in User Objects

Fields can be added to the Users object and are often used to support processes in an organization.

It is possible to add fields to the Users object, which will appear in the User record.

These custom fields can be used in:

Users that have the Customize Objects permission can define custom fields for documents 
  • A maximum of 10 custom fields can be created
  • Fields can be reordered
  • Fields are accessed while creating/updating a user record

Add a Field

  1. Click Settings > Administration > Global Resources > System Objects > Users
  2. Choose one of the following options:
  • Click the [New Field] button to add a new Field

The added field(s) appear in the Basic Information Section of the user record.

Reorder Fields

To reorder fields:

  1. Click Settings > Administration > Global Resources > System Objects > Users
  2. Click the [Reorder] button, and use the Arrow Buttons to change the order of the fields

Data Policies in User Objects

Like other Custom Objects, the User Object can contain Data policies, which include the basic principles:

  • Choose from Action- or Calendar-based Triggering Actions
  • Select Activation Sequence (to invoke the Data Policy before or after the Triggering Action (Pre- or Post-)
  • Actions to take when the policy criteria are met

Some elements differ in the User object, however:

  • Type of Triggering Criteria
  • Actions specific to the User Object that are not available in Custom Objects
  • Additional fields included in the User Object, which can be used along with the Java APIs
Triggering Criteria in User Data Policies
The following Triggering Actions are available in the User Object:
  • On View - View a single User record
  • On List View - Search and retrieve a list of users in a View

Activation Sequence
Action based Data Policies can apply actions Before or After the Triggering Action is evaluated:
  • In an Action Based Data Policy, the Activation Sequence determines which actions are available

Create a Data Policy in the User object
  1. Click Settings > Administration > Global Resources > System Objects > Users
  2. Click the Data Policy tab
  3. Follow the instructions at Data Policy to add or modify a data policy
